Host Department/Sponsoring Faculty Essentials

ISSS will establish a PeopleSoft EmplID once the J1 Scholar Application is received and processed. The hosting department/faculty will need to submit a courtesy appointment under standard operating procedures. This appointment will be processed for paid or unpaid visiting scholars.

The hosting department/faculty will provide on-campus office/lab space (which may be shared) – the use of computer and library facilities.

In addition, every effort should be made to offer or make available cross-cultural activities and experiences appropriate to the scholar category. Activities that ‘promote exposure & interchange between exchange visitors and Americans to increase their understanding of each other’s society, culture and institutions are considered ‘cross-cultural’.

J-1 Scholar Pre-Arrival Information

ISSS will communicate with the J-1 scholar on visa processing items – arrival timelines – and – general travel options. The hosting department should assist with detailed travel guidance and best arrival timelines. In addition – assistance with housing will be necessary.

J-1 Scholar Arrival Information

Upon arrival the J-1 scholar will be provided an orientation covering the following –

CU ID – Campus Safety will issue a photo ID to all visiting scholars for the duration of their program.

Social Security Card – it is recommended that J-1 scholars wait 5-7 days from the date of entry to the U.S. before applying for a social security card. The hosting department/faculty member does not need to wait for the card to begin employment – and – this card is only necessary if the scholar will be paid during their time at CU.

Driver’s License a driver’s license is not required if the scholar has a valid driver’s license from their home country. If the scholar decides to apply for a NYS Driver’s License they will be required to take a written and driving test with the Department of Motor Vehicles.

Non-immigrant tax information visiting scholars will be provided information from ISSS on tax preparation and filing.

Payroll forms – For visiting scholars to be paid by CU – please direct them to Human Resources to complete payroll forms under standard operating procedures.

Laboratory Safety Training – all visiting scholars working in campus laboratories will be required to participate in Laboratory Safety Training. Scholars will contact the Environmental Health & Safety office to schedule this training.
