Requirements for Student Exam Requests

Students taking exams with the Office of AccessABILITY Services submit exam requests via their PeopleSoft account. The student may choose to enter all of the exams at one time, but must submit their requests at least one week ahead of the scheduled exam date, when the date is posted on the syllabus received at the beginning of the semester.  Because OAS continues to face significant space concerns and because of the volume of exams given, we can no longer guarantee that we will be able to administer an exam without at least 7 days' advance notice. 

In order to reduce compliance issues and ensure the smoothest facilitation of services for faculty, students and the Office of AccessABILITY Services, we need to address a concern regarding exams dates not being indicated on the syllabus.  This can create an additional burden/barrier not encountered by other students. 

If the dates and times of all of your exams are listed on the syllabus, the students can request them accordingly on PeopleSoft by entering them all at once or at least seven (7) days in advance of the administration date.  If exam dates or times are not yet decided when you issue a syllabus, students have the option of indicating their desire to take the exam with OAS by checking TBA in their exam request. 

If an exam is listed as falling within a range of dates or is designated as to be announced (TBA) on the syllabus, please notify OAS of the date and time seven (7) days prior to the exam administration.  Most of you already do this, as it saves you from receiving inaccurate and multiple exam coversheets.  Likewise, if you change and exam date from the date published on the syllabus, please let us know.

Should you forget to give OAS seven days' notice, we will still do our best to accommodate the students, if we have the space.  We are also requesting that our students pay attention to TBA exams and changes in exam dates or times and provide notification to OAS once and exam date is set or an exam day or time is changed.

We would all like to avoid the need for writing a new exam and finding another day and time for the student(s) to take the exam. However, if we are unable to accommodate the student(s), you will be responsible for working with the student and/or our office to ensure the administration of the exam with accommodations. 

Students are responsible for requesting accommodative services in a timely manner and following our policies and procedures.  If a student fails to request an exam at least 7 days in advance, professors who use our testing facilities and proctors, have listed specific exam dates on the syllabus and have made this arrangement clear to the students when signing Green Sheets, may not be in a position to provide last-minute accommodations for the student for that exam. In such cases, the student will need to take the exam with the rest of the class and without accommodation.

It is recommended that professors who use our testing services convey this information to OAS students via blind copy email, Moodle or syllabus: I use the testing services provided by the Office of AccessABILITY Services, so please make sure that you sign up for each of your exams at least 7 days in advance of our test dates.  The exam dates are posted on the syllabus (posted on Moodle…) If you fail to follow that procedure, then I cannot guarantee that I will be able to provide you with your accommodations for the exams, and you may need to take the exam with the rest of the class and without accommodations.

If you do not post exam dates on your syllabus, encourage students using OAS testing services to still enter them into PeopleSoft as TBA.

If a professor always provides his/her own testing accommodations, then arrangements are up to the professor and should be clearly communicated to the student and preferably also noted in an email. Your arrangements should be in the spirit of the arrangements with OAS and should not require the additional burden of notifying the faculty in writing each time an exam is given.  Once the Green Sheet has been signed and the arrangements have been agreed upon, the student should not have to engage in special communications for each exam. 

OAS does not allow students to change exam start times for reasons of convenience or preference.  They must have a scheduling conflict.  If you allow a change for convenience, of course, we will proctor; however, we do tell students that they may not change exam start times just because they want to leave early for break or want more time to study.
